“Also, Global Vision was very helpful in providing webex sessions (online meetings) and trial usage of the software,” notes Swinton, “which allowed us to electronicallly proofread a wide variety of documents at various stages within the creation process.”
Developed primarily to condense tedious manual document inspections into comprehensively efficient and automated process, explains Global Vision marketing specialist Kim Quelch, “The Docu-Proof software compares two files of any type—even graphic versus text files—and after a quick inspection, it generates a report of all changes, including changes in fonts, deletions, insertions, spelling and location.”
And it does it at impressive speeds, concurs Swinton, citing an example of an 18-page document being fully inspected in less than four minutes.
Utilizing the Docu-Proof software during the creation of its packaging components, labels, inserts, brochures and mrketing materials has enabled Janssen-Ortho to slash its total proofreading time requirements by about a half.
“For us, we had three specific areas responsible for various stages within the labeling process where the Docu-Proof software could be utilized: supply chain, text, and design and marketing,” reveals Swinton.
“Each group reviewed the new processes to determine optimal stages for electronic proofing and estimate annual time savings. The review also yielded additional process improvements and refinements as a result of using an electronic proofing system with hard copy documentation.”
According to Swinton, Janssen-Ortho has been able to realize several concrete process improvements since it started using the software shortly after purchasing all the appropriate licences in July of 2007, including
• Clear and reliable identification of changes made to English-controlled documents, allowing for a quicker translation process and more accurate updates;
• Initiating a partial update of text layout, rather than a full rework, based only on the identified text changes;
• Quick verification of text formatting in artwork, rather than the source document;
• Reduction in the number of art repeats, resulting in faster implementation of text changes to product packaging components.
Swinton relates she was also impressed with how easy the Docu-Proof software was to learn for the licensed Janssen-Ortho personnel, who had completed their full training and validation in a few short weeks.
“Docu-Proof is a very user-friendly, highly functional system with superior reporting functions that address our audit trial documentation requirements,” affirms Swinton.
